Room and Meal Rates

Claymont is available for your group under three pricing and service levels. Review the options below to see what best meets your needs. If you have requirements that are not covered here, or have other questions, please give us a call.

Self-Service Plan: Guests bring their own towels, linens and make their own beds. And/or guests bring their own food, cook and clean up their own meals (kitchen use fees apply). Coop-Service Plan: Claymont provides linens and towels. Guests make and strip their own beds. Claymont prepares meals, guests assist by washing their own plates, glasses and flatware. Full Service Plan: Claymont provides linens and towels. Guests make and strip their own beds. Claymont staff prepares meals and takes care of all meal clean up.

**If your group would like to prepare its own meals, kitchen use fees apply: $150 damage deposit, plus $5/person per day. ** Tea and/or coffee during the day are included for Coop and Full Service plans. Meals generally begin with dinner upon arrival through lunch on the last day, although we can custom suit a meal package for your group's needs. A facility use fee for campers and/or participants sleeping elsewhere: $10/day per person. Daily rates are also available. Prices do not include WV Sales Tax of 6%. Prices subject to change without notice.

There is a two night, 20-person minimum for each building. If your group has fewer than 20 people, Claymont can charge a flat rate for use of either building. All meeting spaces, except the Octagon are included in the pricing. Octagon pricing is: $50 if no heat needed, $15/hour if heat needed.

  Reservations Policy

The Claymont Society is a nonprofit educational organization. We accept reservations for our facilities. A contract will be mailed to you once the reservation is made. Reservations are guaranteed when a signed contract is returned and the advance deposit is received. Please return a signed copy of the contract no later than 30 days of the receipt date.

Deposit

A non-refundable deposit of $600 is required to complete a reservation and ensure that the dates are held for your group.

Minimums

A minimum of 20 paying guests is required for stays at both the Great Barn and the Mansion. If your group has fewer than 20 participants, Claymont must still charge the 20-person minimum per day reserved. Please inform Claymont of the total number of participants 2 weeks prior to your event. Fees, plus any additions, will be based on that number, and your group will be responsible for that amount if there are fewer participants. If we do not hear from you 2 weeks prior to your event, we shall use contracted numbers as the total number.

Billing

Claymont accepts checks anytime during the retreat. Please plan accordingly and make checks payable to the Claymont Society. Claymont does not accept payment from individual participants on a retreat. Taxes A 6% West Virginia sales tax must be paid on all seminar fees unless you have legal documentation stating that your organization is exempt from sales tax in the state of West Virginia. If you are tax exempt, please include a copy of your exemption certificate (which notifies you of your tax-exempt identification number), and a completed West Virginia sales tax exemption form with your contract and deposit.

Registration

As required by law, please provide the Claymont Society with a list of each participant’s name and address as part of registration. Please let us know if the participants do not want to be added to the Claymont mailing list.

Dietary Restrictions

Vegetarian and/or vegan cuisines are available upon request. Claymont can accommodate some dietary restrictions. Please notify Claymont at least two weeks in advance of any special restrictions. If requests are made after that, Claymont may not be able to accommodate them. Some restrictions cannot be accommodated; extra fees may apply in some cases depending upon requests.
